Information I use and why
When you email me, I receive your name, email address and anything you include about your business, website, services and target area. I use it to reply, prepare a quote or audit, take payment and deliver the service. For an audit, I also review public website pages, business listings and reviews, which may include names or images people have made public. Please do not email sensitive personal information or account passwords.
I use your enquiry details to take steps towards a contract at your request; for paid work, I use them to perform our contract. I keep invoices and related records where required by law. I do not add you to a marketing mailing list simply because you enquire.
Who may receive information
Email, website hosting and payment providers may process information needed to run the service. A payment provider’s own privacy notice applies when you use its payment link. I use AI tools to assist research and drafting, and review the output myself. I aim to use public business information and avoid entering private customer details into those tools. If a proposed audit needs non-public personal information, I will discuss this with you first. Provider processing may take place outside the UK under applicable safeguards; ask me for details of the providers used for your work.
How long I keep it
I keep enquiry emails only as long as needed to respond and follow up, normally up to 12 months after our last contact if no work goes ahead. I retain completed audit correspondence and deliverables for up to two years after the work, unless a longer period is needed for a dispute. I keep invoices and accounting records for the period required by tax law. You can ask about a specific record at any time.
Your choices and rights
You can ask to see, correct or delete your personal information, or object to or restrict certain uses, subject to legal exceptions. Email hello@solentlocal.com. You may also complain to the Information Commissioner’s Office.
Website data
The enquiry form fills a draft in your email app; its entries are not submitted to this website. Nothing is sent until you send that email. If I add analytics, advertising cookies or direct website submission, I will update this notice and any consent choices as needed.
